Please take this as notice for the Derbyshire Caving Association Annual General Meeting on Monday 20th February 2023, 7.00 pm to 8.30 pm.

We have the following officer positions vacant, secretary and minute secretary, if anybody should be interested and feels they would like to volunteer their time with DCA.

The AGM will be followed by a short council meeting, 8.30 pm to 9,00pm, to deal with any urgent business coming out of the AGM. The agenda can also be found at the above link.
Individual or club member of DCA are more than welcome to dial into the meeting and take part in the meeting. Observers are welcome, all I ask, is that prior to the meeting, you email secretary@theDCA.org.uk so we know your intention to dial in and we know to expect you.
The officer reports and joining instructions for the meetings will be sent to anybody who lets me know there intention to join.

Meetings
The DCA holds Council Meetings three times a year and an AGM once a year. These are open to all members and representatives of member clubs. We hold meetings online or at a location in the Peak…

We have the following officer positions vacant, secretary and minute secretary, if anybody should be interested and feels they would like to volunteer their time with DCA.
Secretary Role:
- Deal with day-to-day correspondence from email, Facebook, twitter accounts etc.
- Attend four meetings a year
- Work with the chair to arrange the relevant meetings.
- Produce the agendas and notify members of all meetings.
- Collate and issue officer reports for all meetings
- Take the minutes for all meetings, by making notes during the meeting. (Meetings are also recorded and a transcript is also produced from the recording, that can be used for checking). ***
- If the meetings are not online and in person, copies of paperwork need preparing for the meeting and prepare the sign in sheet for the meetings
- Keep the action list up to date
- Compile the minutes after the meeting, check them with other officers and issue.
Minute Secretary Role:
- Take the minutes for all meetings, by making notes during the meeting. (Meetings are also recorded and a transcript is also produced from the recording, that can be used for checking). Once meeting minutes are produced in the DCA format, they need to be sent to the chair and secretary for checking and final issuing.
