Where on the website please?

The most recent documents I can see is the 2023 AGM agenda (but no minutes from that), and the last Council meeting minutes are February 2023. As well as the 2024 AGM agenda, where can I find 2023 AGM minutes, and documents for Council meetings since Feb 2023?

I've looked through all other sub-menus, and even the events diary (which doesn't list the AGM) but I must be missing something.

Is that it? Or am I still missing something? I suppose this does fulfil the constitutional requirements for an AGM agenda, but I guess I had kind of expected a slightly 'meatier' document with more details of any specific proposals (agenda items #5 and #10) and people standing for vacancies (agenda item #8) etc. Or are those details (along with reports and election statements) still to come in a later version?

Also, where can I find the 2023 AGM minutes? Without them, it is hard to consider agenda items 4 and 5.

It concerns me that these have ceased to be published on the BCA website. I acknowledge that there is no constitutional requirement to publish, but it seems a backward step for our National Body to have stopped publishing these.

The BCA constitution does state that the minutes from general meetings have to be "made available" to the membership no longer than 6 weeks after the meeting - a reasonable interpretation would be for them to be published on the website.

I seem to remember the same thing happening for the 2022 and 2021 AGM minutes.

Hi all
We have been struggling with IT services for the past year, this was due to the lack of an IT Convener. We have been looking for one and only very recently has someone come forward. The Minutes of last years AGM and other details for the AGM will be published on the website when we can.

I sympathise, but surely there must be someone within BCA who can post a couple of PDFs on the BCA's website?

I wonder if anyone on here can help suggest some alternative ways that the BCA could share their documents with the wider caving community that doesn't require any particular IT expertise (as an interim measure while the new IT convener is finding their feet)? I'm not sure if UKCaving is able to host PDF files as attachments/posts? If so, can the missing documents be posted here?

Does BCA have the capabilities to email its members at the moment?

Sorry for not letting this one go, I appreciate this has become a bit of a one-man rant, and isn't aimed you personally, Allan. I know first-hand the demands of the BCA Secretary role, and the thanklessness of the job. I also appreciate the BCA's activities are often stifled by a a lack of volunteers. However, there are certain core functions that really cannot be allowed to slip and must be prioritised. Ensuring transparency on what BCA has been doing for the last 14 months, by publicising AGM and Council meeting documents is definitely one of them.

It's great to hear that you have found a new IT convener, and hopefully this will allow many of these issues to be quickly resolved.

I understand that the upcoming AGM could see a number of other new people coming into BCA roles which could set the organisation in a stronger direction, so hopefully the volunteer situation will improve. I'm looking forward to seeing further details about the agenda (including proposals and details of those standing for roles) very soon.

I have been trying to resist jumping the gun on this matter so all I will say on this point is please read my election statement for Secretary when the Agenda is published (alongside everyone else’s obviously). It echos and emphasises the key points you make above.

However, adding documents to the BCA website to my knowledge is a fairly simple task. This is corroborated by chatting to people who’ve held different roles recently

I'm not sure if UKCaving is able to host PDF files as attachments/posts? If so, can the missing documents be posted here? Convert the pdfs to jpeg or gif and they could be be published here.

Can confirm website is having a wobbly, my previous login details on this section no longer work - maybe I’ve been sacked 🤞🏼

Edit: for the record I last remember being able to access through this a couple of months ago when updating insurance docs

Allan: Could the missing documents (which by my reckoning are all Council minutes since February 2023, and the AGM minutes from 2023) be posted here on UKCaving as an interim measure while your new IT team are working on the BCA website? It would be good to give members as much opportunity as possible for people to review these if they wish, before the AGM.

If this is not possible, I can submit a formal request for these documents as per Section 6.13 of the BCA constitution.

Hi Matt
The 2023 AGM Minutes were placed on the website yesterday, they are with the Official Documents which you will find via the top address bar on the webpage, click on About BCA then Official Documents, the 2023 Minutes are the first item for this year.
Re the Agendas and Minutes since Feb 2023, they were all circulated via the BCA Council List, the CNCC rep will have received them, he certainly hasn't reported not getting them.
